You may choose not to give us certain information in which case it would limit our ability to communicate news or club events to you as quickly as we would wish to.

Holding your personal information allows the AAUK to provide you with any updates, newsletters and any events that the AAUK may be holding such as seminars or breed appreciation days. This information may be used to support your progression to a higher level on our list.

In addition to your personal information the AAUK will need to collect information on your judging history to date i.e. number of dogs judged, breeds judges, stewarding experience and attendance at any seminars as per KC policy. The club will then use your information to advise you of the committee’s decision and to keep you informed about your membership, or any club news or events that you might be interested in attending. The AAUK will also use any personal information to validate that those attending any club meetings/AGM’s
are fully paid up members.

The AAUK will use the information you supply to validate your attendance at any event and to notify you of any changes to venues or times, or if the event has to be postponed/cancelled for any reason.
Judges lists.
The personal information you supply when you apply for inclusion on the AAUK judges list will initially be used by the committee in its decision on your application. The committee will use the detailed information you supply on your judging experience to date as a part of its decision making process and to ensure if successful you are included at the correct level on our list of judges. When you complete the AAUK’s judge’s questionnaire which can be found on our website we will use the personal information supplied to inform you of the committee’s decision. Any successful applicants are then included on our lists. Our judges list will be updated annually in January every year and it will be included in the club’s annual returns to the Kennel Club. The AAUK will give a judges name and a generic location to any show or society seeking a qualified judge for their show. Providing the judge has indicated their consent on their judge’s application we will also pass on their contact details to the show or society’s secretary for them to make contact with the judge.
We will retain the detailed information supplied by the judge on their questionnaire about their knowledge and experience to date and use this when justifying the judge’s progression within our lists.

Every year the AAUK has to provide the Kennel Club with its current judges list as a part of their annual returns to them. This is required as a part of being a registered and regulated club under the rules of the Kennel Club. The Kennel Club strictly protects any personal information in line with current data privacy regulations.

The club secretary will be responsible for securely holding all the personal information supplied when applying for membership of the AAUK or for the judges lists. The secretary will only provide access to this personal information for legitimate club purposes only.

The secretary of the AAUK will be responsible for securely holding the competed membership application forms of any members who join for a period of 5 years or until the member leaves the club whichever is the shortest time. The secretary of the AAUK will be responsible for securely destroying the completed membership application forms of those that are unsuccessful in their application for membership. This will be done by the secretary
one calendar month after notifying the unsuccessful applicant that they have not been successful in joining the club. This will allow time for any follow up correspondence on the committee’s decision to be completed. Club membership is renewable annually by the 1 st January. If any member fails to pay their annual membership fees by the 1 st July their personal information will be securely deleted no later than 3 months after this date. This allows time for any oversights in payment of membership fees to be made. The AAUK may produce a list of members to allow for the club to validate attendance at club specific events such as the annual general meeting. These lists will be securely destroyed after any such event has taken place.

This list will be held by the Kennel Club in line with its prevailing data privacy legislation.

You can do this by indicating on your membership application form any such preferences for email or post which will allow the club to pass on this information in the best way for you.
